Music Integration Services Ltd ("we", "us", "our") operates Clara for Choirs ("Clara", the "Service"), a virtual accompanist for choral institutions, available on iPad and the web. Clara is currently offered exclusively through pilot programmes with schools, churches, and other organisations. We are registered in England and Wales (company number 16476021) and act as the data controller under UK GDPR and the Data Protection Act 2018.
1. Information we collect
- Institutional account information: organisation name, contact name, role, email address, and billing details when an institution joins a pilot.
- Usage data: how authorised users within the institution interact with Clara (rehearsal activity, features used, device type). We use PostHog for product analytics to improve the service during the pilot phase.
- Payment information: Most pilot fees are invoiced directly. Where subscriptions are processed via Stripe, we receive limited metadata (status, customer ID) but never store card details ourselves.
- Support communications: emails and messages sent to our team.
2. How we use your information
We use personal data to:
- Deliver and support Clara for the institutions participating in pilots
- Process invoices and any Stripe payments
- Improve the product based on real usage by choral organisations
- Communicate about the pilot, upcoming changes, and support
- Meet our legal and accounting obligations
3. Legal basis for processing
Contract performance (delivering the pilot service the institution has agreed to), legitimate interests (product improvement, security, support), and legal obligations (invoicing, record keeping).
4. Sharing and processors
We do not sell personal data. Data is shared only with processors essential to running the pilots:
- Stripe – for the payments processed through subscriptions
- PostHog – product analytics
- Standard infrastructure and email providers with appropriate safeguards
5. Your rights under UK data protection law
Representatives of participating institutions (and individual users where personal data is processed) have the right to access, rectify, erase, restrict, or object to processing of their personal data, and to request portability where applicable. 6. Data retention
We retain institutional and user data for the duration of the pilot plus a reasonable period afterwards to meet legal, tax, and support obligations (typically up to six years for financial records). You may request deletion of personal data at any time, subject to our ongoing contractual and legal duties.
7. Security
We apply industry-standard measures to protect data. No system is completely secure. Please contact us immediately if you suspect any issue.
8. Cookies and tracking
Essential cookies and local storage keep you signed in. Analytics via PostHog help us understand how institutions use Clara during pilots. Most tracking can be controlled through browser settings.
9. Children
Clara is provided to institutions. When used with young people, the participating school or organisation is responsible for obtaining any required consents. We do not knowingly collect personal data directly from children under 13.
10. International transfers
Where processors are based outside the UK, we use appropriate safeguards as required by law.
11. Changes
We may update this policy. Material changes will be communicated to participating institutions. The current version is always available here.
